What you'll achieve
Have every person who leaves their details in the chat reach your CRM or system on their own, without copying them by hand.
Before you start
- Be an administrator of your bot's editor.
- Know which CRM or system your company uses and whether it can receive data by webhook (a web address that receives the information) or by API.
- Keep your privacy notice up to date: your contacts' data will also be stored in your CRM.
Steps
- Define which data you want to receive. Usually it's the name, email, phone, channel (web, WhatsApp, Instagram or Messenger) and the reason for the conversation.
- Ask your CRM for the address to receive data. In most CRMs it's in the integrations, webhooks or API section. If your CRM doesn't have it, you can use a connection tool like Zapier or Make.
- Turn on contact sending from your bot. Follow the guide Receive your contacts' data in your system and paste your CRM's address there.
- Run a test. Chat with your bot from the web chat, leave a test name and email and check that the contact appears in your CRM.
- Organize the contacts in your CRM. Create a label or list for contacts coming from the bot, so your team knows where they come from.
Expected result
Every conversation where the person leaves their name and an email or phone reaches your CRM with the channel they wrote from, without anyone having to copy it by hand.
What you should know
- In the web chat, only the data of people who accepted data processing is sent.
- If your CRM doesn't respond, sending is retried for a while. In the webhooks guide you can see how to check errors.
- Never share API keys by chat or email: if you need help, we'll tell you a secure channel.
Common issues
Contacts aren't reaching my CRM
Check that the address you pasted is correct and that your CRM is receiving data. Run a new test from the web chat and accept data processing.
Duplicate contacts are arriving
Set up your CRM to identify contacts by email or phone and update the existing one instead of creating a new one.
