What you'll achieve
Check a contact's sales data in one place (opportunities and activities) and record whether they authorized or asked to stop receiving communications by email, SMS or WhatsApp, to help you handle personal data in line with Law 1581.
Before you start
- Only administrators can record consent changes or generate unsubscribe links. The rest of the team sees the information in read-only mode.
- Recording is manual and doesn't trigger sends. A conversation isn't the same as consent: to record an authorization you need the reference to a real authorization (where, when and how it was given).
- Consent is saved per channel and per destination (email or phone) and is shared between contacts that have the same email or phone.
- This guide is operational; it doesn't replace your company's legal advice.
Steps
- Open the contact from the Archie Talk contacts section.
- In the profile (Customer profile) use the tabs Summary, Conversations, Notes y Contact details.
- In Summary check the name, company, email and phone, and the counters Opportunities, Pending activities y Completed activities, with the details of each one. Up to 20 records are shown; the rest are in the CRM.
- Find the section Consent and unsubscribes. You'll see one card per channel (Email, SMS, WhatsApp) with its status: No authorization recorded, Authorization recorded o Unsubscribe recorded. If the email or phone is missing, it will say No email or phone.
- To record a change (administrators): in Channel choose the channel, in New status choose the status and in Evidence or reason (reference, source and date) write the evidence. For example: “Asked to unsubscribe via WhatsApp on 10/24/2026”.
- Click Record change.
- To unsubscribe, choose Unsubscribe recorded as New status. To reauthorize, choose Authorization recorded and leave the reference to the real authorization.
- If you need the person to confirm their unsubscribe, click Generate unsubscribe link (for the selected channel). It's valid for 30 days, isn't sent automatically, and opening it doesn't record the unsubscribe: the person must confirm it. Keep it private. Note: this step hasn't been verified with the live service yet.
- Review the history: Last 20 changes for this contact and blocks on their email, with the date, who made it and the evidence.

Expected result
The channel status changes and the change is logged in the history with the date, owner and evidence.
Common issues
I don't see the form to record changes.
Only administrators see it.
The Record change button is disabled.
The evidence is missing, or the contact doesn't have an email or phone for that channel.
“The status or destination changed. Review the updated details before recording again.”
Someone else changed the record. Review the reloaded details and try again.
“Couldn't look up or save the record.”
Retry; if it persists, contact support.
I changed the email or phone and the status went back to “No authorization recorded”.
Consent is per destination; the new destination needs a new record.
Email blocks appear in the history.
They're email unsubscribes received by Archie's sending platform.
When to contact support
Write to us with your company name, your administrator user, the contact's name, the channel, the exact message and a screenshot. Don't send the full unsubscribe link or unnecessary personal data.
