What you'll achieve
Create a form you can embed on your website so every interested person becomes a contact and an opportunity in your CRM.
Before you start
- Only administrators see the option Lead capture forms.
- Your site must open with https. The form only works on the domain you authorize.
- Be clear about which pipeline the leads should go to. The opportunity is created in the first stage of that pipeline.
- You need to be able to paste a code snippet into the page of your site where you want to show the form (or ask whoever manages your website).
Steps
- In the side menu open Sales CRM and click Lead capture forms.
- Click New form. Screenshot: Lead capture forms screen
- In Form title type the name visitors will see (up to 80 characters).
- In Authorized domain type only the domain, without https:// or paths. Example: example.com. It must be exactly the domain of the page where you'll put the form: if your site opens as www.example.com, type www.example.com.
- In Pipeline choose the pipeline that will receive the leads.
- Click Save. Screenshot: Configure form
- On the form card you'll see a box with the embed code. Click Copy code; the notice “Code copied” appears. If it doesn't copy, select the text in the box and copy it by hand.
- Paste that code into the page of your site where you want to show the form, on the same domain you authorized.
- Open that page in your browser and check that the form shows up.
- Send a test request and check that a new opportunity appears in the chosen pipeline.
What the visitor sees
The form asks for Name, Email, Mobile with country code (optional) (formatted +573001234567) and Tell us what you need (optional). When they submit with Send request they see “Thank you. We received your request and will get in touch.”
Spam protection
- The form includes an anti-bot check (captcha) and a notice explaining it's used to prevent automated submissions.
- It also only accepts submissions from the authorized domain and silently discards submissions from automated programs.
- Note: this step hasn't been verified with the live service yet (the anti-bot check depends on an external service).
Pause and reactivate
- On the form card click Pause. While it's Paused it stops receiving requests.
- To receive them again, click Reactivate. It changes to Active.
- To change the title, domain or pipeline, use Edit.
Expected result
Each person who submits the form becomes a lead-type contact (if their email already existed, the contact is reused) and an opportunity called “Web request from” plus their name is created, with source “Web:” and your domain. You can see where your leads come from in the guide “Find out where your customers come from”.
Common issues
The form doesn't show on my page.
Check that the page opens with https and that the authorized domain is identical to the page's (including www if you use it). If you changed domains, use Edit.
I see “This form is temporarily unavailable. Please try again later.”
The anti-bot verification service isn't available at that moment. Try again later.
The visitor sees “Check your details and try again.”
Check that the email is valid and that the mobile number has the + sign and the country code, with no spaces or hyphens.
It says “Couldn't save or load the form. Check the domain and pipeline.”
Type the domain without https:// or paths and choose a pipeline from the list.
Someone submitted the request and the lead didn't arrive.
Confirm that the form is Active and look at the pipeline and stage New (or the first stage you have configured).
When to contact support
Write to us if the form doesn't load with the right domain or if requests don't arrive. Send us: your company name, the form title, the authorized domain, the address of the page where you embedded it, the approximate date and time of the test, the exact text of the message and a screenshot.
