What you'll achieve
Create a page with its own link where your customers choose a date and time for a meeting with you or someone on your team. Each booking creates a lead and a meeting activity in the CRM.
Before you start
- Only administrators see the option Bookings.
- Decide who will handle the meetings (the Owner), which pipeline the lead should land in, which days and hours you're available and how long each meeting lasts.
- This feature works with the Archie Talk CRM calendar. It doesn't sync with external calendars.
Steps
- In the side menu open Sales CRM and click Bookings.
- Click New booking page. Screenshot: Bookings screen
- In Page name type the title your customer will see (for example, “Discovery meeting”).
- In Owner choose who will handle the meetings.
- In Pipeline choose the pipeline where the lead will be created.
- In Time zone leave America/Bogota or type the right zone.
- In Available days check your working days (Mon to Sun). By default Monday to Friday are checked.
- In Start time (0–22) type your first available hour, for example 9.
- In End time (1–23) type the hour your availability ends, for example 17. It must be later than the start time.
- In Duration in minutes choose 15, 30, 45 or 60.
- Click Save. Screenshot: Configure bookings form
- On the page card click Copy link (you'll see “Link copied”) and share it with your customers by WhatsApp, email or your website. You can also open the link from the same card to test it.
What your customer does
- Opens the link and chooses a Date (up to 30 days ahead).
- Clicks See times and chooses an Available time.
- Enters their Name and their Email.
- Clicks Confirm booking and sees the message “Your meeting is booked. We look forward to seeing you.”
Pause and reactivate
Use Pause on the card so the link stops accepting bookings, and Reactivate to open it again. With Edit you change hours, owner, pipeline or duration.
Expected result
For each booking, a lead-type contact is created (or the existing one is reused by email), an opportunity called “Booking from” plus the customer's name with source “Web booking”, and a meeting activity for the owner on the chosen date and time. You'll find it in the views Calendar y Agenda of the CRM.
Common issues
The customer sees “There are no available times this day. Choose another date.”
That day isn't checked in Available days, the time has already passed or there are no free slots left.
The customer sees “We couldn't book that time. Check your details and try again.”
Someone else may have taken that time just before, or the email isn't valid. Have them choose again.
It says “Couldn't load or save the booking page. Check the settings.”
Check that at least one day is checked, that the end time is later than the start time and that the time zone is written correctly (for example America/Bogota).
The link says it doesn't exist.
The page may be Paused; use Reactivate.
The customer doesn't get a confirmation.
This page doesn't send a confirmation email; the confirmation is the on-screen message. If you need to, let them know yourself in the conversation.
